Six Pony Hitch is looking for an operations coordinator to help us help our clients. You will be responsible for keeping Six Pony Hitch team members and our clients on task, in scope, on budget, and on time. We have a reputation for doing great work, helping our clients succeed, and above all, being honest and being nice. We are not looking for 9?5ers that do what they are asked. We are looking for self-starters who do whatever needs to be done and continue thinking of better ways to do it. We are a creative shop full of problem-solvers but love structure and systems. RESPONSIBILITIES
Project Coordination
Full management of project timelines and budget.
All day-to-day production flow and coordination.
Scheduling of projects under way and new projects coming in.
Creating daily internal hot sheet for critical tasks.
Anticipating and proposing solutions for any resource conflicts or
difficulties.
Documenting all project activities on Basecamp.
Identifying and implementing project improvements and efficiencies.
Managing team workload.
Integrating and coordinating with 6PH team members.

Client Coordination
Defining project scopes and writing scope descriptions for all
proposals.
Proposal/contract development and distribution.
Managing scope for all projects.
Coordinating with client and senior management on schedules,
revisions, and any other updates to the project.
Vendor Management
Coordinating with all vendors/subcontractors on all projects.
Vendor/subcontractor workload management.
Getting estimates from all vendors/subcontractors.
Making sure vendors/subcontractors stay within project scope.
Defining and upholding vendors to project profitability.

Financial Management
Setting and keeping project budgets.
Conducting a weekly analysis and reporting of billable hours.

QUALIFICATIONS
Strong operational management capabilities.
Detail-oriented.
Good organizational and planning skills.
Strong communication and writing skills.
Problem solving ability. Must be able to assess problem situations,
identify causes, gather information, propose solutions, and follow
through for results.
Knowledge of and experience with project management.
Computer proficiency in:
Microsoft Word
Excel
E-mail
Cloud based software
Basecamp
Harvest
Ability to work remotely. This includes proficiency in video
conferencing services like Skype, UberConference, WebEx, etc.
Ability to foster teamwork and work cooperatively with others.
Willingness to pitch in and do any necessary project.
Understanding of ethical behavior and business practices and
ensuring that own behavior is consistent with these standards and
aligns with the values of Six Pony Hitch.
Efficiency and profitability. We are constantly looking to grow and
improve. The Operations Coordinator should develop new and
unique ways to improve our operations and create
growth opportunities.
Entrepreneurial mindset.
Flexible schedule. The Operations Coordinator works a standard work
week but may be required to work some evenings and weekends to
meet project milestones.
