Position Summary:

This NEW position at Prospera will be responsible for engaging business people and Prospera members to increase and expand the membership and financial capacity for Prospera and the Montana Women’s Business Center. This position will work closely with the Executive Director and Board of Directors to plan strategic efforts to attract new members, increase program underwriting/sponsorships, and increase financial support through grants and donations (to our 501c-3 foundation). The position will leverage opportunities to enhance the organization’s financial resources by driving membership development, matching prospective sponsors with organizational needs and delivering high-impact stewardship programs and events. Prospera will also raise charitable gifts for its 501c-3 foundation that will directly support our impact for the people and communities we serve in Gallatin and Park counties.

Role of the Membership & Fundraising Director:

The position is a leadership role in a small non-profit organization with strong ties in the communities we serve. The Membership & Fundraising Director is responsible for planning, organizing and implementing the membership, sponsorship and fundraising goals for Prospera. The director will be charged with building and creating a new fundraising program for the organization, a new member/donors database, as well as crafting targeted stewardship for member/donors.
The director will manage a member/donor portfolio at various stages of development, and help to align them with the programs and funding needs of the organization. The position has a visible public role with extensive community relations activities. The director also engages the staff and Board to help plan events, develop programs, and strengthen community support.

Key skills and abilities for a successful program director include:

• Strong interpersonal skills and the ability to plan and organize development activities.

• Creative in their ability to design and communicate Prospera’s impact and funding needs.

• Knowledgeable grant-writing experience; that can translate and communicate our funding needs for success.

Qualifications:

• A four-year college degree is required.

• Computer literacy is required, being adept using PCs with a Microsoft Office Suite, Donor management databases, Adobe products, and cloud-bases services (i.e., Constant Contact)

• Desktop publishing (Adobe Suite) and website design experience is a plus.

The Membership & Fundraising Director has the opportunity to launch a new development program at Prospera that will support emerging women entrepreneurs and small business owners, help improve financial literacy and address a wide-range of community development needs facing small towns and fast-growing communities in our region. Duties and Responsibilities:

This position will report to the Executive Director and serve as the liaison for the Board Membership and Development Committee to involve them in the strategy and execution of an annual membership and fundraising program.

Duties and responsibilities include, but are not limited to:

GROW PROSPERA MEMBERSHIP

• Develop and implement strategies to increase the number of Prospera members, and work to retain and expand the financial support of Prospera members.

• Develop and track a detailed prospect and task list to meet periodic growth targets.

• Create a new (cloud-based) member/donor database for Prospera, and develop the systems and methods for building a robust member/donor development program.

• Manage billing and member receivables and ensure accuracy with recordkeeping and accounting.

• Integrate donor/membership development into other Prospera events and programs.

• Plan and develop a business sponsorship/underwriter program for Prospera, and coordinate publicity and donor recognition as needed.

DEVELOP DONORS AND GRANTS

• Plan and establish a new fundraising program for the 501c-3 foundation for Prospera. Raise restricted and unrestricted funds from a variety of sources to directly impact our mission and capacity to deliver services in Park and Gallatin County.

• Integrate a "member/donor" concept for Prospera to ensure consistent benefits and stewardship engagement is established.

MANAGE COMMUNICATIONS AND STEWARDSHIP

• Assist in the creation of new communication materials (print/website) that will improve the community-impact narrative of Prospera’s member/donor materials.

• Create new original communication tools to share timely and unique success stories for member/donor stewardship, to craft original solicitations.

• Prepare content for monthly e-Newsletters, renewal letters, thank you notes, website success stories, social media and other event presentations.

SUPPORT PROSPERA EVENTS

• Assist with planning and working at Prospera events including those for the Montana WBC, annual member events and special programs throughout the year.

• Assist with updating annual online event calendar, recruit speakers, book venue and catering, market events, track registration using online system and set-up and take-down at events.

• Develop new strategies for incorporating member/donor development at existing or new events when appropriate.

• Create marketing materials, advertising, press releases, direct mail, social networking posts, website updates and creative design for event promotion, presentations, business papers and brochures.

OTHER

• Work with the Executive Direct and staff to execute positive and successful fundraising strategies, and assist with developing new communication tools (video, PowerPoints, social media etc.).

The Montana Women’s Business Center (WBC) Program Director plans and organizes a comprehensive array of business counseling services, public training and education programs, and business support services to meet the needs of business owners, start-ups, and nascent women entrepreneurs. TheWBC focuses on providing these services to women, those that are socially and economically disadvantaged, and other business owners who seek support. The Montana WBC has been hosted at Prospera since 2009 and provides services statewide in partnership with its sub-center at the Ravalli County Economic Development Authority (in Hamilton, MT).

The WBC requires that non-federal matching funds are raised each year to support the program.

Prospera Business Network – Job Description

Program Director, Montana Women’s Business Center
The Montana Women’s Business Center (MWBC) provides a comprehensive array of business services, including group training and individual business counseling, tailored to the needs of start-up and nascent businesses and aspiring women entrepreneurs. The MWBC makes a specific effort to provide these services to women that are socially and economically disadvantaged.

The Montana MWBC Program Director is responsible for compliance with program requirements according to the U.S. Small Business Administration (SBA) Office of Women’s Business Ownership (OWBO). The MWBC Program Director has overall responsibility for the day-to-day operation of the program. The MWBC is a federally funded program and requires non-federal matching funds be raised each year for a successful program. The MWBC operates as part of Prospera Business Network and the director functions as a team member with other staff coordinating work, managing programs, and collaborating with others to achieve MWBC program goals.

MWBC PROGRAM DELIVERY

The Montana WBC program director is responsible for all of the programs and services outlined in the SBA "cooperative agreement", including direct technical assistance, group training, and referrals to other business assistance resources (both internal Prospera, other SBA resources, and other organizations).

Key responsibilities include:
Trainings: Plan and implement professional development, group trainings, and conferences, including: the biennial women’s conference, Women Entrepreneur Leadership Mentoring Series (5/year), fwd. Business Series (5/year), Women-Owned Business Tours, computer software trainings, start-up trainings, SBA District Office partnered events (3/year) and other seminars/events with partner organizations/agencies, on topics specifically related to business (5/year).

Responsibilities include, but not limited to:

• All aspects of event planning, budgeting, and implementation

• Speaker/facilitator recruitment, management, and follow-up;

• Sponsorships and Partner relations and co-planning;

• Event marketing (multi-channel);

• Training reporting and record-keeping for MWBC reporting;

• Management and oversight of MWBC online training/distance learning (ed2go.com).

Business Counseling: Provide short and long-term confidential counseling services to an individual and/or business by phone, on-line or face-to-face. Responsibilities include, but are not limited to:

• Assist clients with the business start-up, business plan review, financial review and analysis, marketing plan assistance, managing a business, cash flow management, financing, human resources and other information needed for the operation of a small business enterprise;

• Manage on-going client communications (by phone and email);

• Manage client intake and reporting processes, for about 3-8 client meetings/week

• Conduct surveys and outreach for ongoing client reporting;

• Conduct the Annual Economic Impact study;

• Collaborate with other counselors under the MWBC program.

MWBC GRANT MANAGEMENT

• Coordinate positive working relationships with the MWBC Sub-Center Management (Ravalli County Economic Development Authority, RCEDA).

• Serve as the program lead for all Montana WBC grant responsibilities, under the OWBO (refer to Notice of Award (NOA) and Women’s Business Center Project Guide) and in accordance with the Montana WBC Technical Proposal, program goals and budget; regulations, statute and OMB circulars.

• Write and prepare the annual program technical proposal (and grant renewal proposal, required every three years).

• Prepare all reports, program summaries and financials for mid-year and year-end reviews, performed by SBA District Office Technical Representative (DOTR). Preparation and delivery of quarterly and semi-annual reporting, including narrative reports, financial oversight/review, EDMIS management and client success stories.

• Participate in OWBO conference calls.

• Plan monthly MWBC Advisory Board meetings, and follow-up to engage them in programs and fundraising efforts

• Provide financial oversight of the Montana WBC budget, program income and expenditures.

• Manage data entry and reporting in the SBA EDMIS II reporting database.

• Respond to SBA, OWBO requests for information and program success stories.

OUTREACH AND RELATIONSHIP MANAGEMENT

This position is responsible for developing a professional network of support relationships with outside agencies for a successful MWBC program. This position serves as the point-of-contact with Prospera business members, financial institutions, partner organizations, and others to market MWBC services and to make professional referrals. Coordination with other agencies, including SBA District Office, SBDC’s, SCORE, BEAR, local and statewide agencies, universities, chambers of commerce, and professional women’s groups is a core responsibility.

MARKETING AND COMMUNICATIONS

This position is responsible for the marketing and "brand" strategy for the Montana WBC program. Brand management, website management and updates, collateral creation, email marketing, and multi- channel public and media relations are vital. New fundraising and program sponsorships are critical elements for achieving our goals for raising matching funds.

TRAVEL

Local and in-state travel will be required occasionally to meet with clients, attend conferences, and present at trainings, as well as meet with program partners in state. Attendance at the annual national conference of WBCs will be required.
