Montana Career Opportunity - Administrative Assistant - Shelter Designs

Shelter Designs http://www.shelterdesigns.net/ , a yurt manufacturing company located in the River Road neighborhood of Missoula, is looking to fill a full time Administrative Assistant position. Hours required are 8:30-5:30, Monday thru Friday with one hour unpaid lunch breaks. Some occasional weekend work may be required in special cases.

Responsibilities include:

answering phone and email messages

basic sales questions

quickbooks

Off site errands (post office, etc) Must have your own transportation.

Occasional tours of facility to customers and trade show representation can be discussed.

Light cleaning/dusting of office is required, maintenance of office systems, and daily customer service tasks such as bringing pastries/lunch, and making coffee for visiting clients.

Filing of invoices, receipts and entering data into Quick Books for Mac.

Must be proficient with Quick Books, Mac operating systems, Cloud technology, Numbers (spreadsheets) Marketing and general business strategy understanding a plus.

Your number one job will be excellent customer service whether the customer is on the phone, computer, or visiting the shop in person. Each yurt sale entails countless hours spent answering questions, prompt responses to phone calls and emails so a pleasant demeanor and a willingness to host/be hospitable are essential. Our company ranks # 1 for customer service and attention to detail in the industry, and it is important to keep it that way. Each transaction with customers is logged in as much detail on the appropriate forms. You must be a highly organized individual!

Daily duties will include checking phone messages and emails for quotes requests and other questions, and beginning on line quote potential customer contact with a follow up phone call to find out more details about customer situation. This follow-up process can take days, weeks or months. It is very important to document every customer transaction so that customers questions get answered promptly and professionally. You will work closely with the owner until you become proficient in the language of the company.

Personality of a successful SD secretary: Lively, and engaged with a sense of humor! A highly organized and efficient work ethic with commitment to getting things done the right way, and finished to completion. Good communication skills are absolutely essential including comfort with asking questions. You must be comfortable with the idea of "alternative living" as many of our customers have questions regarding wood stoves, composting toilets, solar systems, and sustainability in general. Practical experience in this area is a plus.
