Sustainable Business Council Request for Proposals for Communications Development and Maintenance Services

Purpose: The purpose of this RFP is to identify an individual or firm that will contract with the Sustainable Business Council to upgrade and maintain its website, data management system, and communications tools.

Tasks: Development of New Web Site and Communication Tools

· Identify new software to manage the SBC web presence and various communication and membership tasks. Features desired in the new software include online membership directory, online newsletters and calendars, online donations, email database management, time tracking, and easy web content management capabilities. The software should provide a database and other tools that help the SBC determine effectiveness of programs and plan for future activities.

· Convert all present web content and member databases to the new system.

· Set up online newsletter, calendar, time tracking, and donation capabilities.

· Integrate the new SBC logo, graphics and other marketing messages in the website and communications tools.

Ongoing Maintenance

· Enter or coordinate entry of new members into appropriate databases, web directories, and information management systems including direct contact with members to determine what sustainability information should be included about them in our directories.

· Help compile, record, and publish member information.

· Maintain and update the various communication tools and media including, but not limited to, the website, the newsletter, the calendar, and brochures

· Maintain records that track staff time, volunteer time, website hits, member services provided, member requests, etc.

Qualifications and Competencies Desired in a Contractor:

· Knowledge of and past experience with website development

· Knowledge of and experience with Dream Weaver, our current web development tool

· Knowledge of and experience with on-line data management and communication tools and techniques

· Knowledge of, belief in, and ability to discuss sustainability with our members when collecting information from them and entering information in our website and communications tools

· Familiarity with and experience with marketing concepts and their application in web and hard copy communications pieces

· Good communication skills and easy rapport with people

Features of the proposal and contract: · This will be a contract for services with a firm or independent contractor.

· The initial contract will be for 3 months and should cover, at a minimum, the development of new web and communication.

· At the end of the 3 months, the contract for ongoing maintenance may be renewed. Renewal will be based on performance and the ongoing needs of the SBC.

· The contractor will work on his or her own equipment and at his or her own facility.

· The contract may specify a fixed fee, an hourly rate, or a combination of both.

· Actual tasks included in the final contract may be limited to a portion of the tasks in this RFP depending on the total cost estimate. As such, proposals should include an indication of the fee related to each task listed above, whether it is based on a fixed fee or hourly rate, and whether the fee would change if other services were not included in the final contract.

· Proposals for provision of only a portion of the tasks listed will be accepted and considered if no one contractor can perform all of the tasks listed.

· The desired start date of the contract would be March 1.
